Who we are
Elements Dining Group operates dinewithelements.com.au and the venues listed on this site. This policy explains what personal information we collect through this website and our messaging channels, why we collect it, and what we do with it. It is written to meet the Australian Privacy Principles under the Privacy Act 1988 (Cth).
What we collect
- Enquiry and booking details. Your name, email, phone number, event date, guest numbers, any dietary or accessibility requirements you tell us, and anything you write in a message field.
- Newsletter details. Your name and email address, plus whether you have opened or clicked our emails so we can stop sending to people who are not interested.
- Job applications. Your contact details and whatever you tell us about your work history.
- WhatsApp messages. Some of our team accept enquiries by WhatsApp. If you message us there we receive your WhatsApp display name, your phone number, your profile photo if you have one set, and the content of your messages. Those conversations sit in the WhatsApp Business platform, provided by Meta and governed by Meta’s own terms as well as this policy. We use WhatsApp only to answer you and to confirm booking or event detail. We do not add your number to a marketing list unless you ask us to.
- Usage data. Pages viewed, links clicked, device and browser type, referring source and approximate location from your IP address, collected through the tools listed below.
We do not collect payment details on this website. Table bookings and payments happen on the venue websites through their own providers, and gift card payments are taken directly by the venue.
Cookies, analytics and advertising
Some cookies are necessary to make pages, forms and bookings work. The rest are optional and only run where you have consented through our cookie banner. Google Consent Mode is enabled, so the tags adjust to the choices you make there.
- Google Analytics. We use Google Analytics 4 to see which pages, venues and menus people look at and where they came from. IP addresses are truncated before storage.
- Microsoft Clarity. We use Microsoft Clarity to see how people actually use the site, through heatmaps and session recordings. Clarity records mouse movement, scrolling, clicks and taps, and general device and location data. It does not record what you type into form fields, and payment and sensitive inputs are masked. Microsoft may combine this with data it already holds about you and may use it for its own product improvement and advertising purposes under its privacy statement.
- Google Ads. We run search, display, video and remarketing campaigns, which means Google Ads conversion and remarketing tags run on this site. If you visit and do not book, you may later see our ads on Google Search, YouTube, Maps or partner sites.
- Meta Ads. We use the Meta pixel and conversions API so we can measure and run Facebook and Instagram advertising and remarketing the same way.
- Customer lists. We may upload a hashed, unreadable version of an email address or phone number to Google or Meta so we can show ads to existing customers, or exclude them. Neither platform receives a readable copy, and neither is permitted to use it for anything else. Ask us and we will remove you.
Managing this. You can change your choices in the cookie banner at any time, block or delete cookies in your browser, opt out of Clarity at clarity.microsoft.com/terms, adjust Google ad settings at myadcenter.google.com, and change ad preferences inside Facebook and Instagram. The site still works if you decline optional cookies.
Why we collect it
To answer your enquiry, to run your booking or event, to handle dietary and access needs safely, to send you the newsletter you asked for, to consider your job application, to measure our advertising, and to understand which parts of the site are useful. We do not sell personal information and we do not share it with third parties for their own marketing.
Marketing
We only send marketing where you have opted in or where you have dealt with us and would reasonably expect to hear from us. Every marketing email has an unsubscribe link and we action it promptly. Unsubscribing does not stop transactional messages such as a booking confirmation or a reply to a question you asked.
Who sees it
Function enquiries go to the coordinator for the relevant venue and to the group events inbox. Form submissions are processed by our form provider, analytics and advertising data is processed by Google, Microsoft and Meta, and WhatsApp messages are processed by Meta. These providers may store data outside Australia, most commonly in the United States and Ireland. We take reasonable steps to make sure they handle it consistently with the Australian Privacy Principles.
How long we keep it
Enquiry records are kept for two years so we can pick up a conversation where it left off. WhatsApp conversations are kept on the same basis. Newsletter subscriptions are kept until you unsubscribe, after which we keep a suppression record only so we do not email you by accident. Job applications are kept for twelve months unless you ask us to remove them sooner. Analytics and advertising data is kept for the period set by each platform, generally fourteen months or less.
Security and data breaches
We protect your information with access controls, multi factor authentication on our business accounts and limits on who can see what. If we have a breach that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
Accessing or correcting your information
Email info@elementsgroup.com.au and ask. We will confirm your identity and then give you what we hold, correct it, or delete it. There is no charge for a reasonable request and we aim to respond within 30 days. You can also ask us to remove you from advertising audiences or stop messaging you on WhatsApp.
Complaints
If you think we have mishandled your information, email info@elementsgroup.com.au with the detail and we will respond within 30 days. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes
If this policy changes we will update this page. Material changes will be noted here with a date.
